Guidelines for organizational meetings and decision-making
A) General Meeting
At least one General Meeting shall be held every year, which shall be considered the Annual General Meeting (AGM). A special General Meeting may also be convened if necessary. A notice specifying the time, date, venue, and agenda shall be issued at least 15 (fifteen) days prior to the meeting.
The General Meeting shall approve the following matters:
Annual Report of the Organization
Annual Budget and Financial Accounts
Appointment of an Auditor for Auditing the Organization’s Income and Expenditure
Amendment, Modification, or Addition to the Organization’s Constitution
A quorum shall consist of at least one-third (1/3) of the total members. Decisions adopted in a meeting with a valid quorum shall be considered final.
Section 22: Financial Management
The Executive Council shall hold at least six (6) meetings each year.
A meeting notice mentioning the date, time, and venue must be issued at least 7 days in advance. A quorum shall be formed with the presence of at least one-third (1/3) of the Executive Council members. Decisions adopted in a meeting with a valid quorum shall be considered final.
